Job Summary We are seeking a dynamic and highly organized Office Assistant to join our team! Duties Manage front desk operations, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Perform data entry and maintain accurate records using spreadsheets, word processing, and productivity software such as Microsoft Office Handle clerical tasks such as filing, proofreading documents, and organizing office supplies to ensure a tidy and efficient workspace Support office management activities by coordinating schedules, managing appointments, and assisting with basic administrative projects Provide excellent customer service by responding promptly to inquiries, supporting client communication, and assisting with customer support needs Utilize computer skills for document creation, email correspondence, and technical troubleshooting as needed Assist with personal assistant responsibilities including calendar management and task prioritization to enhance overall office productivity Requirements Proven experience in an office environment with strong clerical skills and familiarity with office management practices Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong typing, data entry, and spreadsheet skills Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting Strong communication skills, including phone etiquette and client interaction experience; bilingual ability is a plus Technical proficiency in using multi-line phone systems, data management software like QuickBooks, and general computer literacy Previous experience in customer service or front desk roles demonstrating professionalism and positive attitude Ability to handle confidential information discreetly while maintaining a high level of accuracy in proofreading and document handling Personal assistant experience or related administrative experience is preferred but not required Join us to be part of a vibrant team where your organizational talents will shine!
