Job Summary The Administrative Support Representative facilitates the efficient administration of the Operations department by performing a variety of clerical and administrative tasks.
Essential Duties and Responsibilities Carrier Control & Quoting:
Schedule LTL Upload BOLs Enter Shipping Costs Quoting Dispatch•coordinate daily freight dispatches Documentation & Compliance Label generation (drop ship, RMA, Inbound Equipment) Non•Conformity Logs International Shipping Oversight HTS entry-management Export Compliance Commercial Invoices SLI creation AES filing Claims & Acceptations Claims & Disputes (LTL & Small Parcel) Damage Investigation HUB escalations Returned & Quality Control Confirmation of RMA returns: Return Labels, Chatters, Receipt of Return Inventory accuracy in RMAs Confirm inbound packages and return to sender inbound shipments Coordinate returned inventory across all HUBs Maintains communication with Sales Team, & TPA's to assist in scheduling pick up times with clarity & precision. Professionally make and answer incoming calls, take messages, and answer routine questions as appropriate. Assist in other tasks and project support, data gathering, data entry and reporting for department team as assigned. Processing of planned orders and input on supplier internet web sites Maintenance of supplier contact details and service level agreements General administration support for stock control and coordinators Reporting, creating, and running reports, maintaining supplier information and data Ensure all meeting notes are up to date, and outstanding actions are planned and executed Review, drafting and filing of project related correspondence Adhering to and updating existing document control procedures Maintaining, coordinating, and facilitating project information and processes Attending and taking minutes in meetings and following up on actions Minimum Qualifications High school diploma or equivalent Proficiency in Microsoft Office Suite Hands-on experience with office equipment Competencies, Preferred Knowledge, Skills, and Abilities 1-2 years of experience in a similar role Excellent skills with Microsoft Word Office, Excel, Outlook, etc. Reliable with a strong work ethic Ability to work under pressure to meet deadlines set Excellent communication and phone skills Excellent interpersonal and customer service skills. Excellent verbal and written communication skills. Excellent organizational skills and attention to detail.
