Mahoning Avenue, Austintown, OH Job Summary:
Under the supervision of the Vice President/ Office Manager, the Scheduling Coordinator will be responsible for assisting in the weekly scheduling of patients/caregivers and answering phone calls, along with assisting in occasional community outreach and marketing efforts for Comfort Keepers and Comfort Care-a-van..
Qualifications:
Bachelor's degree in related field (Health Sciences) preferred. Equivalent or combination of education with a minimum of at least 2-3 years in a similar/related work setting. Must possess the ability to professionally handle human relations, customer service, and organizational skills. Must be able to work under time constraints and manage multiple demands simultaneously. Must possess proper phone etiquette and communications, along with being proficient in Word, PowerPoint, Excel, and Adobe.
Essential Scheduling Coordinator Functions:
  • Handles incoming phone calls and distributes necessary information to caregivers, HR Director, and/or clinical staff as needed
  • Assist in general scheduling and documentation for caregivers on Generations Homecare Software.
  • Participates in on-call rotation as assigned
  • Participates in weekly clinical meetings and follow-up with clients/families as needed.
  • All other duties as assigned by the Vice President/ Office Manager, that is within the scope of the position.
Occasional Marketing Assistant Functions:
  • Assist the Vice President in building/maintaining relationships with community organizations and other referral sources.
  • Attend community marketing events, health fairs, and other public speaking events to educate groups on our services.
  • Assist the Vice President in developing monthly marketing campaigns for social media accounts.
  • Develop and update marketing materials as needed.
Additional Essential Functions:
  • Maintains confidentiality of all client, employee, and company information in accordance with HIPAA and company policies.
  • Ensures accuracy and timeliness of data entry, scheduling, and documentation within company software systems.
  • Communicates professionally and effectively with clients, caregivers, drivers, referral sources, and office staff.
  • Assists in resolving scheduling conflicts, call-offs, and staffing shortages in a timely manner.
  • Supports compliance with company policies, procedures, and state/federal regulations.
  • Maintains a professional appearance and conduct while representing the company
  • May assist with special projects, audits, training coordination, or administrative reporting as assigned.
Additional Qualifications:
  • Ability to maintain professionalism during stressful or high-call-volume situations.
  • Must be dependable, punctual, and capable of maintaining regular attendance.
  • Valid driver's license and reliable transportation preferred for community outreach events and occasional travel.
Schedule Expectations:
The schedule for this position operates from 9:00AM - 5:00PM, Monday through Friday with occasional changes to cover vacations/pto.
Working Environment:
Office environment and occasional community travel
Position Physical Demands:
Walking, sitting, and standing with lifting limited to files and records typically not expected to exceed 15 pounds in weight. Extended time at a computer work screen and on the telephone.
