Job Description

We are looking for a highly dependable and organized Office Assistant to join our team in Ada, Michigan. This is a long-term contract position ideal for someone who thrives in a collaborative environment and can handle a variety of administrative and light financial tasks efficiently. The role requires adaptability, proactive problem-solving skills, and a commitment to maintaining an attentive and welcoming office atmosphere. This is a non-smoking environment, the role is 100% onsite, M-F, 8am-5pm.
Responsibilities:
  • Provide general administrative support, including proofreading, editing, and ensuring the accuracy of documents.
  • Assist with front desk responsibilities by greeting visitors, directing them to appropriate departments, and addressing inquiries.
  • Handle light financial tasks, such as processing payments, batching transactions, and assisting with basic bookkeeping as needed.
  • Collaborate with team members to ensure smooth office operations and assist in covering tasks during staff absences.
  • Maintain schedules and calendars using tools like Outlook to coordinate meetings and appointments.
  • Respond promptly to requests from supervisors and complete assigned tasks with efficiency and attention to detail.
  • Support intake processes by addressing walk-in inquiries and facilitating communication with relevant departments.
  • Utilize software tools, including BS&A, Word, and Excel, for clerical tasks and data management.
  • Stay calm and focused when resolving issues or managing unexpected situations.
  • Proactively contribute to the smooth operation of the office by taking on additional responsibilities as needed.
