Job Overview:
Join a dedicated team as an Administrative Assistant II, where your organizational skills and attention to detail support the smooth operation of a vital government department. In this role, you will serve as the first point of contact, managing communications, coordinating meetings, and handling administrative tasks that keep the department running efficiently. Your contributions will help ensure that the department's daily functions are executed seamlessly, making a meaningful impact in a dynamic work environment.
Qualifications:
No formal degree requirements; high school diploma or equivalent preferred. At least 1 year of administrative or office support experience. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent phone etiquette and communication skills. Strong organizational skills and attention to detail. Ability to type accurately from plain copy. Capable of managing multiple tasks and prioritizing effectively. Ability to work independently and as part of a team. Physical ability to perform typical office tasks; no special physical requirements noted.
Responsibilities and Duties:
Screen telephone calls, provide information, and refer callers to appropriate staff members. Greet visitors and answer inquiries in person or via phone. Open, scan, read, and distribute mail; compose official correspondence and assist with mailroom operations. Manage the Purchase Order inbox by labeling documents with Metadata and uploading them into the database. Oversee weekly reports from the Geotab database, updating, labeling, and uploading documents into the fleet application, and setting reminders. Arrange conferences and meetings, maintain the supervisor's calendar, and advise on commitments. Organize travel itineraries and accommodations, and prepare travel claims and expense reports. Research, assemble, and summarize materials and data for administrative or board review. Transcribe confidential and technical meeting proceedings with high accuracy. Take and transcribe dictation as needed, ensuring precision and confidentiality. IND-1
