Basic Purpose:
Partner calendar and meeting coordination Preparation of agendas, presentations, reports, and proposals Audit and Client Accounting Services administrative support Billing and collections support Recruiting and onboarding coordination Event planning and execution CPE tracking and professional development administration Special projects and executive support as needed Key Responsibilities Partner and Department Administrative Support Manage calendars and scheduling for the Audit and CAS partners. Coordinate internal and external meetings, confirm dates and times with clients, and ensure logistics are handled accurately. Draft and prepare professional correspondence on behalf of department leadership. Accompany partners to meetings, including offsite and/or out of town, when requested and assist with meeting logistics and materials. Arrange travel, lodging, itineraries, and related logistics for specifically assigned partners or for others as assigned by partners. May assist assigned partners with personal tasks and errands as requested, including scheduling appointments, coordinating personal deliveries, or handling other personal matters on behalf of the partners as directed. This is a standard expectation of a partner-level support role and will be handled with the same professionalism and discretion as all other responsibilities. Meeting Preparation, Proposals, and Client Deliverables Prepare agendas, supporting materials, presentations, proposals, and related documents for partner, department, and client meetings. Print, compile, bind, and prepare final reports and other client deliverables for Audit and CAS engagements. Coordinate delivery of proposals, reports, and other client-facing materials. Support timely follow-up on department meetings, client requests, and action items. Audit and CAS Department Coordination Prepare departmental agendas and supporting materials for Audit and CAS meetings. Attend department meetings as needed and track follow-up items, deadlines, and next steps. Coordinate schedules, meetings, and administrative support for Audit and CAS initiatives. Monitor department tasks and subtasks in Canopy and help ensure assigned administrative follow-up is completed. Billing, Collections, and Financial Administrative Support Handle billing and collections support for Audit and CAS and provide overflow support for Tax as assigned. Travel to post office to retrieve and/or deliver mail, review all mail for client payments, create mail log of payments received. Review expense reports and flag discrepancies or unusual items for follow-up. Support accurate administrative processing of department billing and client account items. Confirmations, Compliance Tracking, and Administrative Systems Manage confirmations, confirmations.com activity, and related tracking processes for Audit and CAS. Track CPE requirements and related administrative records for Audit. Assist with department administrative systems, including request tracking and related workflow support. Maintain organized files, documentation, and records related to assigned department processes. Onboarding, Orientation, and Professional Development Support Conduct new hire orientation for team members and support related firmwide orientation activities as assigned. Set up new Audit and CAS employees in department software and systems. Assist with new client setup using intake forms and department procedures. Manage Becker CPA review enrollments and related administrative coordination. Events and Department Support Coordinate Audit and CAS department events, including busy season kickoffs, internal gatherings, and related team activities. Assist with firmwide events and provide departmental coordination for out-of-town events as assigned. Support in-person recruiting events. Provide limited backup reception and general office support when needed to maintain office coverage.
Qualifications:
Associate degree or equivalent experience required; bachelor's degree preferred. Three to five years of progressively responsible administrative experience, preferably in accounting, professional services, or a similar environment. Experience supporting multiple leaders or departments simultaneously preferred. Experience with billing, scheduling, and client-facing administrative coordination preferred. Skills and Competencies Strong organizational and multitasking abilities Excellent written and verbal communication skills High attention to detail and follow-through Professional judgment and client service orientation Ability to manage deadlines across multiple partners and teams Proficiency in Microsoft Office and administrative systems Ability to handle sensitive information with professionalism and discretion Strong initiative and ability to work independently within established priorities Working Conditions This role is a salaried exempt position. During peak periods, deadlines, events, or when business needs require it, additional hours beyond a standard schedule may be expected as a normal part of the role. This is consistent with the nature of work in ap professional services environment. Primarily works in a professional office environment, fully on-site. Regular use of a computer, phone, and office equipment is required. Will require preparing physical meeting materials, carrying reports or supplies, pick up and/or delivery of items as needed as assigned by partners.
