This position will provide administrative and operational support to the community office while assisting residents, vendors, and management with day-to-day needs. The ideal candidate is professional, detail-oriented, comfortable working with the public, and able to manage multiple priorities in a fast-paced environment. This position will assist with resident relations, data entry, purchase orders, community violations, records, payments, vendor communication, and general property management operations . Responsibilities Manage daily front office operations, including greeting residents and visitors, answering phones, and providing professional customer service. Communicate with residents in English and Spanish regarding questions, requests, concerns, and general community matters. Answer and direct high-volume phone calls while maintaining professional phone etiquette. Assist residents with general account, payment, maintenance, and community-related questions. Perform data entry and maintain accurate resident and property records using spreadsheets, Microsoft Office, Google Workspace, and property management software. Process and track purchase orders (POs) for supplies, repairs, maintenance services, and other property-related expenses. Communicate with vendors regarding purchase orders, services, invoices, scheduling, and documentation. Assist with reviewing and organizing invoices, purchase orders, receipts, and other financial documentation. Maintain organized resident files, property records, correspondence, notices, and other important documentation. Assist management with community inspections and violation tracking , including documenting violations and preparing and distributing violation notices as directed. Maintain accurate records of outstanding violations and assist with follow-up and compliance tracking. Prepare and distribute resident notices, letters, forms, and other community communications. Assist with resident move-ins, move-outs, transfers, and other administrative processes. Schedule appointments, meetings, inspections, and other community activities. Assist the Community Manager with daily administrative and operational tasks. Maintain office supplies and assist with inventory and ordering as needed. Communicate professionally with residents, vendors, contractors, and team members. Handle confidential resident and company information with professionalism and discretion. Maintain a clean, organized, and welcoming community office. Perform other administrative and property management duties as assigned. Skills & Qualifications Bilingual in English and Spanish required. Previous office, administrative, customer service, leasing, or property management experience preferred. Experience working in property management, mobile home communities, apartments, or a similar environment is a plus. Proficiency with Microsoft Office, including Word, Excel, and Outlook , and Google Workspace. Strong computer, typing, data entry, and organizational skills. Ability to learn and navigate property management software and internal systems. Strong attention to detail and accuracy when handling resident records, purchase orders, invoices, and documentation. Excellent verbal and written communication skills. Professional and friendly customer service skills. Ability to handle multiple tasks and prioritize work effectively. Strong follow-through and ability to meet deadlines. Comfortable communicating with residents, vendors, contractors, and management. Ability to handle difficult or sensitive resident situations professionally. Knowledge of general office procedures, filing, recordkeeping, and administrative practices. Ability to maintain confidentiality and exercise good judgment. Dependable, punctual, professional, and able to work independently as well as part of a team.
