Duties Manage daily office operations, including filing, data entry, and maintaining confidential information with integrity and discretion Coordinate and oversee scheduling for meetings, appointments, and events to optimize team productivity Handle vendor management by sourcing services, negotiating contracts, and ensuring timely delivery of supplies and services Support human resources functions such as onboarding new staff, maintaining employee records, and assisting with payroll processing using financial software like QuickBooks or similar tools Organize and plan company events, meetings, and training sessions to promote team engagement and development Supervise clerical staff when applicable, providing guidance on office procedures and workflow improvements Manage multi-line phone systems, answer inquiries professionally, and direct calls efficiently to appropriate personnel Oversee bookkeeping tasks including invoicing, expense tracking, budgeting assistance, and maintaining accurate spreadsheets for financial reporting Utilize Microsoft Office Suite extensively to prepare reports, presentations, and correspondence that meet professional standards Skills Proven experience in office management or administrative roles with strong organizational skills Expertise in event planning and coordinating large or small-scale gatherings or meetings Demonstrated supervising experience with the ability to lead teams effectively Proficiency in QuickBooks or other accounting/financial software for payroll and bookkeeping tasks Excellent communication skills—both verbal and written—with a focus on client communication and phone etiquette Strong technical proficiency in Microsoft Office programs such as Word, Excel (spreadsheets), PowerPoint, and Outlook Knowledge of vendor management processes including contract negotiation and relationship building Ability to handle confidential information with discretion and professionalism Experience in human resources functions like onboarding, training & development activities Exceptional organizational skills with attention to detail in filing systems and calendar management Adept at managing multiple priorities simultaneously while maintaining a positive attitude Join us as an Office Coordinator if you're eager to bring energy into an essential role that keeps our workplace running smoothly!
