Job Description

Job Summary We are seeking a dynamic and organized Clerical Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth administrative workflows and exceptional customer service. Your energetic approach will help manage front desk duties, handle multi-line phone systems, and support daily office management tasks. Bilingual skills are highly valued to assist a diverse client base. This paid position offers an exciting opportunity to develop your clerical expertise while contributing to a positive and productive work environment. Responsibilities Greet visitors and clients at the front desk with professionalism and enthusiasm, providing excellent customer service. Manage multi-line phone systems, directing calls efficiently and courteously while maintaining proper phone etiquette. Perform data entry and maintain accurate filing systems, including digital records using Google Workspace and Microsoft Office applications. Assist with calendar management and scheduling appointments for staff or clients, ensuring timely follow-up. Support office management tasks such as proofreading documents, organizing files, and handling incoming correspondence. Enter financial data into QuickBooks or bookkeeping software, supporting basic invoicing and expense tracking. Provide administrative support including copying, scanning, proofreading documents, and managing office supplies inventory. Experience Prior clerical or administrative experience in an office setting is preferred. Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Experience with data entry, filing systems, and document proofreading is highly desirable. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent phone etiquette and customer service skills to support client interactions. Bilingual abilities are a plus to effectively communicate with diverse populations. Knowledge of office management procedures such as calendar management, personal assistant tasks, or medical/dental receptionist experience is beneficial.
