Administrative Support

Position Overview This role is a key front-line and administrative support position within a multidisciplinary engineering and building design firm . Administrative Support Coordinator supports project coordination, proposal coordination, and light office coordination while working closely with a small administrative team. This is a fast-paced, in-office role supporting a collaborative group of engineers and project managers. What You'll Do Support engineers and project managers with daily administrative and coordination needs Manage multiple tasks and shifting priorities with strong attention to detail Communicate professionally and confidently across teams Maintain a proactive, solution-oriented approach Project Coordination Support Manage project status reports and tracking spreadsheets Assist with project setup in workflow, accounting, and project management systems Coordinate project kickoff meetings and maintain a live project calendar Support project oversight, staffing coordination, submittals, and deadlines Communicate project updates, schedules, and workload needs Assist with specifications, invoicing support, and project closeout activities Facilitate weekly project deadline meetings Support document processing (PDFs, plotting, scanning, binding, minor edits) Proposal & Marketing Support Set up proposal folders, templates, and tracking spreadsheets Monitor incoming marketing tasks and support the marketing lead Research and share procurement opportunities Skills & Qualifications Proactive, organized, and adaptable Strong time management and follow-through Detail-oriented with professional communication skills Moderate experience with Microsoft Outlook, Excel, Word, and Teams Administrative Experience is a positive Job Type & Location This is a Contract position based out of Beaverton, OR. Pay and Benefits The pay range for this position is $23.00 - $26.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
