Job Description

Job Summary The Part-time Administrative Assistant at Everyone Village plays a vital role in supporting the organization's day-to-day operations and mission advancement. This position works closely with senior staff across multiple departments—executive leadership, mission development, human resources, finance, and program operations—to ensure strong administrative systems, effective communication, and seamless coordination. This 20hr per week position is central to the effectiveness of Everyone Village's model. By strengthening the administrative backbone of the organization, the Administrative Assistant directly supports the expansion of services, partnerships, and innovative housing solutions that are changing lives in the community. This is a highly relational and detail-oriented role, ideal for someone who thrives in a dynamic, purpose-driven environment and wants to contribute to innovative solutions addressing homelessness and community health. 1. Executive & Digital Media Support Coordinate website updates by working with leadership and external partners Manage and post content across social media channels based on leadership input Assist with digital communication initiatives that support storytelling and outreach 2. Mission Development & External Relations Coordinate and schedule tours for donors, partners, and community stakeholders Maintain donor communication systems, including: Thank-you emails and letters Contact tracking and notes Support relationship-building efforts with partners and prospective supporters 3. Human Resources Administration Support employee onboarding: Process paperwork and enter data into payroll systems Coordinate required reporting (DOJ, Oregon Saves, etc.) Set up employee email and digital access Support offboarding: Manage email transitions and document ownership Ensure proper documentation (exit interviews, disciplinary records) Maintain employee records: Scan, file, and organize HR documentation Track status changes (compensation, tax forms, etc.) Assist with payroll processes: Post-payroll administrative tasks (garnishments, compliance payments) 4. Program Operations Support (Recuperation Program) Track and order program supplies Assist in compiling and submitting operational and outcome reports to healthcare partners 5. Finance & Administrative Support Collect, code, and file receipts Assist with bank deposits and recordkeeping Retrieve and manage mail from P.O. Box (multiple times weekly) Track and order office and Welcome Center supplies 6. General Administrative Support Provide flexible support to senior staff as needed Assist with special projects and cross-functional initiatives Help maintain organized, efficient administrative systems across the organization Qualifications Strong organizational and administrative skills High attention to detail and accuracy Excellent written and verbal communication skills Ability to manage multiple priorities in a fast-paced environment Proficiency with Google Workspace and basic office systems Experience with payroll/HR systems preferred (or willingness to learn) Alignment with Everyone Village's mission and values Preferred Attributes Highly relational and service-oriented Self-starter with strong follow-through Comfortable working across multiple teams and functions Ability to handle sensitive and confidential information with discretion Adaptable and solution-focused
WEEKLY PART-TIME SCHEDULE TO BE DETERMINED BASED ON MUTUAL AGREEMENT.
