Job Description
Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Duties Support the Executive Director in operational and administrative functions Operate multi-line phone systems, handle incoming calls, and provide prompt, courteous customer support. Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records. Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information. Assist with calendar management and scheduling appointments or meetings for staff members. Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking. Provide clerical support such as proofreading documents, preparing correspondence, and managing office supplies. Coordinate office management tasks to ensure a productive work environment, including overseeing office equipment and supplies. Offer personal assistant support when needed, including travel arrangements or special project assistance. Assist with grant reporting. Assist with donor development activities. Qualifications Proven experience in an office environment with strong clerical skills and organizational abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy. Previous experience with QuickBooks or bookkeeping is preferred but not required. Excellent phone etiquette with the ability to handle multi-line systems efficiently. Strong attention to detail with proofreading and data entry accuracy. Ability to manage time effectively while juggling multiple responsibilities in a fast-paced setting. Pay:
