As a Support Services Assistant , you'll play a key role in supporting administrative operations, reception services, hospitality, and special events across ENTEK's Lebanon campus. You'll work closely with employees, visitors, vendors, and community partners while providing outstanding customer service and helping create a welcoming, professional workplace. What You'll Do As a Support Services Assistant , you'll provide administrative, hospitality, and office support that helps keep ENTEK's daily operations running efficiently. From greeting visitors to coordinating meetings and supporting company events, you'll be an essential resource for employees across the organization. In this role, you will: Provide administrative support by preparing correspondence, reports, presentations, and business documents Deliver exceptional customer service while responding to employee, visitor, and vendor inquiries Serve as the primary backup for the Receptionist, providing front desk coverage during breaks, vacations, and absences Answer and direct incoming multi-line telephone calls professionally and efficiently Welcome visitors, vendors, applicants, and guests while managing visitor sign-in procedures Coordinate conference room reservations and company vehicle scheduling using Microsoft Outlook and other scheduling tools Print and distribute daily conference room schedules and related communications Maintain office supply inventories and coordinate replenishment of materials Receive, sort, distribute, and process incoming and outgoing mail and packages Coordinate shipping services, postage requirements, and monitor postage meter balances Pick up mail from the U.S. Postal Service and complete occasional company errands Support employee recognition programs, company meetings, community outreach activities, and special events Coordinate meeting room setup, hospitality services, food service, and event preparation Operate and troubleshoot office equipment, including copiers, printers, scanners, and postage systems Coordinate service requests and repairs for office equipment as needed Support departmental projects and identify opportunities to improve office processes and operational efficiency Maintain compliance with company procedures, safety policies, and administrative standards
Requirements:
What We're Looking For We're seeking a highly organized, customer-focused professional who enjoys helping others, managing multiple priorities, and creating a positive experience for employees and guests. Minimum Qualifications High school diploma or GED Valid driver's license with an acceptable driving record Two (2) or more years of administrative, office support, customer service, or related experience preferred Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams Strong verbal and written communication skills Excellent customer service and interpersonal skills Strong organizational, time-management, and multitasking abilities Exceptional attention to detail and accuracy Ability to prioritize competing responsibilities while meeting deadlines Basic mathematical skills Ability to communicate effectively in English Preferred Qualifications Experience supporting reception or front desk operations Experience coordinating meetings, events, or hospitality services Experience in an administrative support role within a manufacturing or corporate office environment Experience working with executive leadership and cross-functional teams Demonstrated ability to identify and implement process improvements Your Work Schedule This is a full-time, non-exempt position working Monday through Friday, approximately 6:45 AM to 4:00 PM . Occasional schedule flexibility, overtime, or adjusted hours may be required to support company events, reception coverage, or business needs.
