Administrative Assistant Rent Portland Homes - Darla Andrew's Office - 1.0 Portland, OR Job Details Full-time $24 - $26 an hour 1 day ago Benefits Health insurance Dental insurance Paid time off Qualifications Accounts payable Administrative experience Driver's License Driving Organizational skills Full Job Description About the Position We are looking for a dependable, organized, and proactive Administrative Assistant to support our Coordinator and help keep our office and day-to-day operations running smoothly. This is a hands-on position with a variety of administrative and property-management responsibilities. You'll work closely with the Coordinator and other members of the team to help with office tasks, property-related needs, records, vendors, tenants, and special projects. The ideal candidate is someone who learns quickly, pays attention to detail, follows through, and takes pride in doing things correctly. You should be comfortable taking direction while also being able to work independently once you've learned a task or process. You do not need to know everything about property management when you start. We are willing to train the right person who brings strong administrative skills, good judgment, a positive attitude, and a willingness to learn. What You'll Do Administrative & Coordinator Support Provide day-to-day administrative support to the Coordinator and other team members Assist with projects, tasks, and special assignments Organize information, documents, records, and files Enter and update information in AppFolio, Google Drive, and other company systems Assist with tracking deadlines, outstanding items, and follow-ups Follow up on assigned tasks and make sure they are completed Help prepare documents, correspondence, reports, and other administrative materials Assist the Coordinator with keeping information organized and up to date Help with other administrative tasks as needed Office & Front Desk Support Answer and direct incoming phone calls and monitor voicemails Greet tenants, owners, vendors, clients, and visitors professionally Communicate with tenants, owners, vendors, and other contacts in a friendly and professional manner Assist with routine questions and direct more complex issues to the appropriate team member Follow established company policies and procedures when communicating with tenants, owners, and vendors Complete daily office opening and closing tasks Collect and distribute mail and prepare occasional mailings Complete occasional local business errands Help keep the office organized, professional, and running smoothly Property, Key & Equipment Management Maintain accurate tracking of property keys and lockboxes Assist with key and lockbox check-in, check-out, and inventory Track company-issued equipment, including heaters, A/C units, and other temporary property items Monitor equipment condition and ensure items are properly checked in and out Maintain accurate records and follow up when items are missing or outstanding Assist with other property-related administrative tasks as needed Accounting & Administrative Support Assist with administrative tasks related to Accounts Payable and Accounts Receivable Assist with utility bills and vendor payments Communicate with utility companies regarding routine account and billing questions Assist with setting up and updating utility accounts and billing information Assist with interim utility billing agreements for owners Update and maintain records in Google Drive and AppFolio Assist with insurance audits and related documentation Maintain organized records for vendors, owners, and tenants Assist with other accounting-related administrative tasks as directed Special Projects & Team Support Assist with special projects and assignments Help research and organize information when requested Assist with improving and maintaining administrative systems and processes Take responsibility for completing assigned tasks accurately and on time Learn new processes and software as the role develops Look for ways to be helpful and productive when assigned work is completed Support other members of the team when needed What We're Looking For We're looking for someone who is capable, dependable, and interested in growing with the company.

Organized and detail-oriented Dependable and consistent Professional and friendly Comfortable communicating with a variety of people Able to follow established policies and procedures Comfortable taking direction and asking questions when needed Able to work independently once trained A quick learner who is comfortable learning new systems and processes Able to manage multiple priorities and stay organized Proactive and willing to help wherever needed Someone who takes pride in completing work accurately and thoroughly Comfortable handling routine problems and using good judgment Interested in developing additional skills and taking on more responsibility over time Experience & Qualifications Previous professional office or administrative experience preferred Strong communication and customer service skills Excellent organizational skills and attention to detail Ability to multitask and manage competing priorities Ability to work independently after training Ability and willingness to learn new processes and software Property management experience is a plus Familiarity with AppFolio is a plus, but not required Basic accounting or bookkeeping experience is a plus Valid driver's license and clean driving record (MVR verification required through DMV) Reliable vehicle for occasional local business errands What We Can Offer We are looking for someone who wants to learn, contribute, and build a long-term career with our company.
