Monday-Thursday 6am-5pm Position Overview Fuel Safe Systems is looking to add a Project Administration candidate to interface with the Industrial Sales group to create quotes, review customer purchase orders, process sales orders, and work with our Purchasing department to ensure components are ordered and remain on schedule for new orders. The position requires excellent communication skills, program management skills, and the desire to learn and improve upon the company's current processes and products. Prior knowledge of fuel and fluid systems is not a pre-requisite, though some technical background would be preferred, as this candidate will need to be able to interpret basic aspects of engineering drawings and Bills of Materials (BOM). Training will be fully supported by the Industrial Sales & Engineering department. Training will involve following new orders through current administrative processes, working alongside project managers to understand potential process pitfalls, and collaborating with Purchasing on hand-off procedures. Essential Duties and Responsibilities
  • Create quotes per customer inquiries for new and repeating orders with input from Product Development Engineers and Manufacturing Engineers;
  • Interface with production management to establish lead times for quotes;
  • Review customer purchase orders for information that will need to be passed down to other Fuel Safe departments such as quality inspection requirements, customer notification of design changes, and shipping or invoicing requirements;
  • Create sales orders from reviewed purchase orders which communicate the reviewed information from purchase orders and what items are to be manufactured;
  • Create material request forms from engineering drawings that communicate what items need to be purchased for each new customer purchase order and what requirements must be passed on to vendors;
  • Collaborate with the purchasing department to ensure there is clear communication to vendors of all applicable requirements, and pass vendor requirements to the quality department for oversight;
  • Communicate to the relevant Fuel Safe parties what administrative requirements are included in customer Purchase Orders and establish plans to ensure compliance;
  • Communicate with customers when purchase orders need alteration or correction prior to acceptance;
  • Work with all departments to ensure projects are on-track and meeting deadlines, and communicate with the program manager when deadlines are in jeopardy Qualifications
  • Two- or four-year college degree;
  • Background in aviation or other quality-controlled environments (ISO 9001, AS9100) preferred;
  • High degree of interpersonal skills;
  • Ability to communicate professionally;
  • Ability to clearly communicate technical data;
  • Ability to multi-task, prioritize, and work with limited supervision;
  • Computer literate with high typing proficiency;
  • Desire to learn and continuously improve;
  • Self-motivated;
  • US citizen
