Office Coordinator McKenzie Valley Pump - Springfield, Oregon Full-Time | Monday-Friday | 8:00 a.m.-4:00 p.m. About Us McKenzie Valley Pump is a locally owned well pump and water filtration installation and service company serving Lane County since 1986. Current owners Ted and Leslie West have operated the business since 1990, building a reputation for dependable service, quality workmanship, and strong customer relationships throughout Eugene, Springfield, and surrounding communities. We are a small, hardworking team that values professionalism, reliability, and treating both customers and coworkers with respect. We take pride in providing excellent service and creating a supportive workplace where employees can grow and contribute long- term. Position Overview We are seeking a highly organized and customer-focused Office Coordinator to support daily office operations, customer communication, scheduling, and administrative functions. This role is ideal for someone who enjoys balancing customer service, logistics coordination, and administrative responsibilities in a fast-paced small business environment. The right candidate will be friendly, dependable, detail-oriented, and confident communicating with customers and team members professionally. There is opportunity for long-term growth within the company for someone who is motivated, adaptable, and eager to learn the operational side of the business. Responsibilities Answer incoming phone calls and respond to customer email and text inquiries professionally and efficiently Assist with daily service scheduling and dispatching of field technicians Support sales and customer service efforts through clear communication and follow-through Perform data entry and administrative tasks using QuickBooks and other office systems Provide administrative support to management and field staff Manage incoming and outgoing mail, scanning, filing, and document organization Monitor office supply inventory and communicate ordering needs Maintain organized office systems and assist with day-to-day operational coordination Qualifications Minimum 1 year of office administration, customer service, or administrative support experience Proficiency with Microsoft Office programs Experience with QuickBooks, CRM software, or similar data management systems preferred High school diploma or equivalent required Experience in construction, trades, service, or logistics industries is helpful but not required Ability to multitask, prioritize responsibilities, and remain organized in a fast-paced environment Strong written and verbal communication skills Ability to work independently while contributing positively to a team environment Professional demeanor and strong attention to detail Reliable attendance and punctuality are essential Must pass background check and have a clean driving record Ability to lift or move up to 30 pounds occasionally and sit, bend, or stand for extended periods as needed Who Thrives in This Role Successful team members in this position are: Positive and professional with customers Calm under pressure and able to problem-solve independently Comfortable managing multiple priorities throughout the day Team-oriented, dependable, and adaptable Motivated to learn and grow within a small business environment Confident communicators with a strong work ethic and sense of accountability Compensation & Benefits $22.00-$28.00 per hour starting range - DOE Full-time position Benefits available after 90 days Paid vacation, holiday, and sick time Health insurance Retirement plan with company contribution
