Position Summary The Front Office Administrative Assistant serves as the first point of contact for clients, agents, visitors, and business partners while answering calls, managing front office operations and providing administrative support to the sales team. The ideal candidate is highly organized, customer-focused, detail-oriented, and comfortable managing multiple responsibilities in a fast-paced environment. Primary Responsibilities Front Office & Reception Greet clients, visitors, agents, and team members in a friendly, professional manner Answer, screen, and assist a high volume of Medicare client calls Serve as the primary front-office contact and create a welcoming office environment Schedule and coordinate conference rooms, appointments, and meeting logistics Open and close the office as needed Manage office supplies, equipment, and inventory Order, maintain, and organize marketing and sales materials from multiple insurance carriers Receive, sort, and distribute mail, packages, deliveries, and correspondence Perform light office errands and administrative tasks as needed Administrative Support Provide administrative support to the Agency Director, sales agents, and office staff Collect, review, monitor, and process enrollment applications and related documentation Conduct data entry, reporting, and record maintenance using Microsoft Office applications and internal CRM systems Edit & print marketing materials using Microsoft PowerPoint & Adobe Utilize Outlook, Teams, RingCentral, and other business systems for communication Assist with scheduling, planning, and execution of sales meetings, training sessions, and community events Required Qualifications 2 - 4 years of receptionist, front office, customer service, or administrative support experience Experience in Medicare, health insurance, or a regulated industry preferred Excellent customer service and communication skills, both verbal and written Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams Strong organizational skills with the ability to manage multiple priorities and deadlines Demonstrated attention to detail and accuracy Professional demeanor, positive attitude, and patience Ability to work independently and adapt to changing business demands Reliable transportation Ability to lift up to 20 pounds as needed Benefits Medical, Dental, and Vision Insurance 401(k) Retirement Plan Paid Holidays Paid Time Off (PTO) Community Service PTO Health Savings Account (HSA) and Flexible Spending Account (FSA) options Life Insurance Short-Term Disability Long-Term Disability Compensation The general pay range for this position is $22.00 - $27.00 per hour. Compensation will be determined based on factors including relevant experience, skills, education, certifications, and insurance licensing status.
