Job Description

Job Title:
Administrative Assistant (Part-Time) Neumann University is currently seeking a qualified applicant for the part-time position of Administrative Assistant within the university's Mission & Ministry area.
Duties & Responsibilities:
Provide comprehensive administrative, logistical, and program support to advance the Catholic and Franciscan mission of Neumann University. Provide primary administrative support to the Vice President for Mission and Ministry and ministry staff. Manage calendars, schedule meetings, coordinate appointments, and prepare meeting materials and minutes. Maintain organized digital and physical filing systems, records, and databases. Process purchase orders, expense reports, reimbursements, and budget tracking in accordance with university policies. Manage office supplies, equipment, name badges, and vendor relationships. Reserve spaces, arrange technology, order materials, and coordinate hospitality needs. Maintain annual calendars of ministry programs and events. Serve as the first point of contact for visitors, phone inquiries, and email communications. Support Student Affairs with occasional ordering. Schedule daily Mass intentions. Handle sensitive information with discretion and maintain confidentiality. Represent the Mission and Ministry Unit with hospitality, respect, and cultural sensitivity.
Qualifications:
Associate degree preferred Prior experience in an education or business office setting Proficiency in technological applications, computers, and word processing software including the Microsoft Office Suite applications and social media platforms Effective oral and written communication skills Ability to plan, organize, attend to details, take initiative, and work independently to complete tasks Ability to prioritize and multi-task in a busy work environment with frequent distractions. Ability to maintain a hospitable and professional office environment Ability to handle and communicate confidential information Willingness to adjust work schedule when needed Candidates must possess an understanding of, appreciation for, and congruence with the Catholic Franciscan mission of the University.
