Job Description
Job Overview We are seeking a dedicated and highly organized Office Assistant to provide administrative and program support to programs located in the Broomall office and work with the Executive Director and Director of Business Affairs to ensure smooth operation of the office. Facilities & Office Operations Assist Executive Director in file organization and maintenance, mailing list records, donor relations, and special projects Coordinate with the Director of Business Affairs and Human Resources in the onboarding/off boarding of staff located at the Broomall office for the issuing/collection of equipment (computers, cell phones etc.) and collection of necessary paperwork. Ensure that all staff have appropriate building access and necessary keys Ensure that all staff at office location are set up to access printers/copiers Ensure phone system is set up and updated based on office moves and staff changes Train staff office procedure, protocols, and local office equipment Assist in collection of paperwork Ensure that bills are submitted to Director of Business Affairs for payment in a timely manner Maintain office equipment ensuring copiers, shredders, etc. are in good working order Coordinate with cleaning company Ensure office and kitchen space are kept clean and professional looking Purchase of office supplies in accordance with company purchasing policies and budget guidelines Answer phones and transfer calls as appropriate Oversee event logistics as requested (facility booking, food orders, materials, etc.) Provide note taking and agenda assistance to Division Director of C/FST for specified county meetings. Provide excellent customer service and present a positive image of the agency Assist with office projects as directed Direct Reports No direct reports. Minimum Qualifications (Knowledge, Skills, and Abilities) High School Diploma Previous experience as an administrative assistant a plus Has personal, lived experience with mental health, substance use, or co-occurring challenges, or is a family member of someone who has accessed behavioral health services Knowledge, Skills and Abilities Intermediate to advanced Microsoft Word and Excel skills Good understanding of computers and office systems Good time management Proactive and engaged problem-solving abilities Ability to prioritize and manage multiple tasks Pleasant and confident demeanor when working with colleagues and clients Strong communication skills, including the ability to read, write, and speak English Have and maintain required background clearances All duties and responsibilities are essential functions and requirements and are subject to possible modification to reasonably accommodate individuals with disabilities.
