Job Description

Job Summary The Project Assistant provides administrative, coordination, and documentation support to project management and field operations. This role assists with maintaining project schedules, organizing project records, supporting communication between internal teams and external partners, and ensuring that project activities are executed in accordance with company standards. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast‑paced environment. Responsibilities Supports Project Managers with project documentation, including submittals, RFIs, meeting minutes, schedules, and project logs. Assists with preparing, distributing, and tracking subcontracts, purchase orders, change orders, and related documentation. Maintains organized digital project files, ensuring accuracy and version control. Coordinates communication with subcontractors, suppliers, and consultants. Helps maintain project logs including RFIs, submittals, change orders, and close‑out materials. Provides administrative support to field teams, including distributing drawings. Assists with project close‑out, including O&M manuals, warranties, and final documentation. Supports estimating and business development. Performs general office duties such as scheduling, data entry, correspondence, and file maintenance. Requirements Experience in construction administration, project coordination, and office support. Proficiency in Microsoft Office, Word, Excel, and Outlook. Familiarity with construction software such as Procore, AIA Contract Documents, and Docusign software is beneficial. Ability to quickly learn and proficiently use industry software, including Adobe InDesign, Sage (Timberline), Trimble Unity Construct (E-Builder), and ConsLog. Use of copy machines and wide format printers Strong attention to detail and accuracy in documentation. Positive attitude, professional demeanor, and willingness to learn.
Pay:
$25.00 - $30.11 per hour
