Job Description

Job Overview We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. This role is vital in providing exceptional administrative support, managing front desk responsibilities, and ensuring an efficient office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to support various departments and serve as the first point of contact for visitors and callers. Responsibilities Greet visitors, clients, and vendors with professionalism and friendly demeanor at the front desk Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software Maintain organized filing systems, both digital and physical, ensuring quick retrieval of documents Assist with scheduling appointments, calendar management, and coordinating meetings for staff members Support bookkeeping activities such as invoicing, expense tracking, and basic QuickBooks entries Perform clerical duties including proofreading documents, preparing reports, and managing correspondence Provide excellent customer service by addressing inquiries promptly and professionally Support office management tasks such as supply inventory checks and maintaining a clean workspace Assist with personal assistant duties or medical/dental receptionist tasks as needed Experience Previous office experience or clerical experience demonstrating strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Familiarity with multi-line phone systems and phone etiquette best practices Experience with data entry, filing systems, and basic bookkeeping (QuickBooks preferred) Bilingual abilities are a plus to assist diverse clientele effectively Strong typing skills with attention to detail for proofreading and document accuracy Excellent time management skills to prioritize tasks efficiently in a fast-paced environment Knowledge of office management procedures or personal assistant experience is advantageous Join us in creating a vibrant office environment where your organizational talents shine!
