Job Description

Administrative Assistant At Home Senior Services is looking for a responsible, organized Administrative Assistant to support us with administrative and clerical tasks. This key administrative player would help in supporting our company's vision of aiding families in need of senior care in the Pittsburgh area. In this position you would be taking direction from At Home Senior Services' office manager to best maintain our office schedule, office organization, and provide phone support to keep operations smoothly run. What does a day look like for our Administrative Assistant? Daily responsibilities for the Administrative Assistant would be to process employee files and keep up to date. Additionally, the Administrative sistant is responsible for making calls to fill any open shifts with the office manager's guidance. This person would also field all phone calls and direct them as well as help problem solve. Any incoming caregiver applications and orientations will be the responsibility of the administrative assistant. There are typically 3-5 applications and at least 1 orientation each week. On an ongoing basis the administrative assistant will keep employee records current to adhere to state home care regulations. This crucial player on our team must have excellent organizational skills and a drive to work both independently when needed and with the guidance of the office manager.
Responsibilities:
Answer and direct phone calls on call a few times a month Organize and schedule appointments Write and distribute email, correspondence memos, letters, faxes and forms Ensure that employee paperwork is up to date Maintain the company filing system to regulated standards Update and maintain office policies and procedures Provide general support to visitors and welcome them HR assistance recuriting and hiring caregivers Manage the hiring process for new senior caregivers Take detailed notes on new client intakes Requirements Proven experience as an administrative assistant, virtual assistant or office admin assistant Excellent and proven computer skills Knowledge of office non medical management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel, MS Outlook, and MS word, in particular) Excellent time management skills and the ability to prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task likes to work independently at times
Hours:
This is a 30 hour a week position. Start time can be between 8am-9am exit time will be between 3pm - 5pm. If hired you will be given 1 week vacation with 3 personal days Position will be reevaluated after 6 months for the potential to increase hours and/or to increase responsibilities for a promotion based on job performance.
