POSITION SUMMARY
Provides administrative and operational support to the Supervisor of Operations, Deputy Director and Director at the Youth Center. Responsible for maintaining efficient daily office operations, monitoring facility activity, managing communications, and coordinating mailroom and stockroom functions while delivering professional support to staff, residents, and visitors.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Greet visitors and notify appropriate departments or staff of arrivals. Answer, screen, and route incoming telephone calls while providing routine information and assistance. Collect and distribute paperwork from Control Center and Administrative mailbox daily. Prepare, copy and distribute daily population lists and related reports. Notify Juvenile Probation of all new intakes and releases. Prepare and distribute copies of Juvenile Allegations and related documentation. Organize, upload, and maintain released residents' documentation within OMS. Compile and distribute daily court lists. Maintain and update daily population counts within the SNLP edit/check worksheet Review email correspondence regarding out-of-county residents and appropriately sort and file documentation. Process Title 1 paperwork and enter required information into the N&D Title 1 online system. Maintain Child Accountability Program (CAP) list and resident documentation. Prepare, distribute, and maintain Kitchen Service Wing Schedules. Create and update Supervisor Schedules as needed. Maintain and update staff phone and contact lists. Shred confidential and sensitive documentation in accordance with BCYC procedures. Provide administrative support to the Deputy Director of Operations and administration staff, including typing, filing, copying, sorting and preparing reports, forms, and correspondence. Monitor inventory of forms and submit printing requests as necessary. Order, track, and maintain office and administrative supplies. Operate standard office equipment and machines necessary to perform assigned duties. Provide back-up support to the Records office as needed. Perform additional duties and special projects as assigned.
