Job Description
Job Summary We are seeking a warm, friendly, highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in administrative functions. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring the smooth functioning of the office environment. The position offers an engaging work environment where professionalism and efficiency are valued. Please note, the duties of this position include, but are not limited to, the following list. Our team is small and operates with an "all hands-on deck" mindset to ensure clients receive top-tier support and service during their time of need.
- Accounts payable/Accounts receivable
- Advertisement and social media management
- Data entry in regulatory databases
- General on-site administrative duties including answering phones, walk-ins, and general client service
- Office supply management
- Pre-service work-up to include regulatory paperwork, service materials, supportive needs for company directors
- General regulatory paperwork as it pertains to state and federal needs
- Vendor management
- Development of sales material with a mindset of easing the client's experience during a difficult time
- Minor housekeeping duties when necessary; including occasional lifting, usually less than 50lbs
- Minor errands: Dry cleaning, Post Office, etc
- Community involvement projects
- Business sponsored seminars Personal Qualities essential to the role: Confidentiality; compassion; organization; warmth; patience; adaptability in regard to different personality types and highly emotional individuals; flexibility; integrity; ability to quickly redirect and focus; prioritization; ability to self-manage and remain self-motivated; accountability for self and, at time, others; resourcefulness; troubleshooting Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong computer literacy with experience in data entry, filing, and proofreading Excellent organizational skills with the ability to manage multiple tasks efficiently Effective communication skills, both verbal and written; bilingual abilities are a plus Experience with multi-line phone systems and front desk operations Knowledge of QuickBooks or similar accounting software is preferred Office management experience including calendar management and document organization Customer service expertise with professional phone etiquette and support skills Strong time management skills to prioritize tasks effectively Personal assistant or administrative support experience is beneficial This position is ideal for candidates who thrive in fast-paced environments and are committed to providing exceptional administrative support.
