Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to support our financial advisor team and help maintain an efficient, client-focused office environment. This role involves daily interaction with clients, managing administrative operations, processing financial paperwork, and assisting with account servicing activities.

Key Responsibilities:
  • Answer incoming phone calls and assist clients with routine requests and follow-up tasks
  • Schedule client appointments, send reminders, and coordinate follow-ups
  • Manage incoming and outgoing mail, including scanning, organizing, and processing documentation
  • Deposit checks and maintain accurate records and logs
  • Process client account transactions, including EFTs, wire transfers, Roth conversions, and other account requests
  • Prepare, complete, submit, and properly save required paperwork and forms
  • Assist with opening new client accounts and monitor paperwork through completion
  • Prepare forms and documents for advisors and clients as needed
  • Maintain and update client information within company systems
  • Prepare conference rooms for client meetings
  • Welcome clients to the office and provide a professional, hospitable experience
Required Skills and Experience:
  • Bachelor's degree
  • Excellent attention to detail and organizational skills
  • Strong communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Ability to prioritize and handle time-sensitive tasks accurately
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work in a fast-paced environment
  • Strong customer service and phone communication skills
