Job Description

Job Summary:
Actively supports the clinical and management teams of the agency by coordinating psychiatric services, managing schedules and handling inquiries using effective communication skills, teamwork, and a positive approach.
Schedule:
Monday 10-6 Wednesday 11-7 Thursday 12-8 Essential Functions
  • Answer incoming phone calls and resolve each call accordingly.
  • Complete intake information with new clients over the phone.
  • Greet consumers; verify their insurance and collect any co-pays due.
  • Provide exceptional customer service to consumers and staff within the agency.
  • Ensure that all consumers are assigned to a provider that is credentialed with their insurance.
  • Assist any new consumers with initial paperwork.
  • Check out consumer at the end of each appointment by scheduling follow up appointments and collecting any co-pays due.
  • Send faxes for providers when instructed.
  • Confirm consumer appointment by calling prior day.
  • Keep an inventory of office supplies and submit orders to Director of Administration.
  • File appropriate medical documents into consumer charts and EMR.
  • Complete a Quality Management checklist each month.
  • All other duties as assigned.
Requirements:
  • High school diploma or GED.
  • Ability to communicate effectively and efficiently with staff members and patients in person and over the phone.
  • Must be detail oriented and very organized and have ability to prioritize duties.
  • Must be able to lift 30 lbs.
  • Be able to sit for up to 4 hours.
  • Must be eligible for Act 34, Act 151, and FBI Clearances Core Competencies
  • File and scan client records into the EMR and charts while checking for completeness and verify materials are file correctly
  • Perform receptionist duties: Provide professional and excellent customer service, answer phones, accept referrals, send, and properly distribute faxes, schedule appointments, answer general questions and refer more complex issues to appropriate staff
  • Provide secretarial support; typing letters, scheduling, copying as requested
  • Maintain appropriate professional boundaries and seek supervision when questions arise
  • Assist Program Manager/Supervisor with tasks as assigned
