Job Description

Robert Half is partnering with a respected higher education organization to identify a highly organized and professional Executive Assistant to support senior academic leadership. This position plays a critical role in ensuring the smooth operation of a fast-paced academic office by providing advanced administrative support, calendar management, budget coordination, and project oversight. Key Responsibilities Manage complex calendars, scheduling meetings, appointments, events, and travel arrangements while proactively resolving conflicts and prioritizing competing demands. Coordinate all aspects of travel, including flights, accommodations, itineraries, and transportation. Support multiple administrative projects and initiatives, ensuring timely completion of tasks and follow-up on outstanding items. Maintain confidential records, files, and communications with the highest level of discretion and professionalism. Monitor and assist with departmental budgets, review documentation for accuracy and compliance, and coordinate submission for processing. Organize and support meetings and events, including scheduling resources, preparing agendas and materials, recording minutes, and coordinating logistics. Assist with onboarding and orientation activities for new employees, as well as offboarding procedures for departing staff. Serve as a primary point of contact for phone, email, and in-person inquiries, providing information and directing individuals to appropriate resources. Build strong working relationships across multiple departments and collaborate with stakeholders at all levels of the organization. Qualifications Minimum of 3+ years of executive, administrative, or office management experience supporting senior leadership. Exceptional organizational skills with the ability to manage multiple priorities in a deadline-driven environment. Strong calendar management, scheduling, and coordination experience. Experience handling confidential information with professionalism and discretion. Budget tracking, expense management, or financial administration experience preferred. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Ability to work independently while maintaining a collaborative, customer-service-focused approach.
