Job Title:
Administrative Assistant - Front Desk Job Description This temporary Administrative Assistant position runs for approximately 3-4 months and supports daily operations and the Site Leader. The role is based at the front desk area of a manufacturing facility, where you will greet visitors and perform a wide range of administrative and office support tasks. While you will sit at the front desk, this is not a traditional receptionist role; instead, you will focus on organizing records, supporting purchasing and maintenance processes, and preparing reports that help keep the business running efficiently. Responsibilities Greet incoming visitors at the front desk in a professional and welcoming manner and ensure they follow appropriate check-in procedures. Maintain current filing systems and record storage in accordance with the organization's record retention schedule, ensuring documents are accurate, organized, and easy to retrieve. Prepare invoices for proper processing, verify required information, and monitor them to help ensure timely approval and payment. Process maintenance work orders by entering requests, tracking their status, and coordinating with relevant staff to support timely completion. Assist staff with proper purchasing and procurement protocols, including creating purchase orders and ensuring compliance with internal procedures. Produce and maintain key operational reports such as the Production Order Summary Report, Shipping Report, Overtime Report, and other reports as requested by leadership. Monitor and maintain the supply of general office materials, including ordering, receiving, and organizing supplies to ensure continuous availability. Maintain an active awareness of safe work practices, identify potential unsafe conditions, and take appropriate steps to help prevent incidents or environmental harm. Collaborate closely with office and operations personnel to support efficient business operations and provide administrative assistance where needed. Perform other related duties as assigned to support the smooth and efficient functioning of the office and facility. Essential Skills Demonstrated administrative or office experience, with the ability to handle multiple tasks and priorities in a fast-paced environment. Proficiency with Microsoft Office applications, including the ability to create, edit, and format documents, spreadsheets, and reports. Experience using SAP, or strong SAP knowledge, to support tasks such as purchase orders, work orders, and reporting. Proven ability and willingness to work in a collaborative team setting, supporting colleagues across office and operations functions. Consistently positive attitude and professional demeanor when interacting with visitors and internal staff. Ability to perform basic statistical equations and work comfortably with numerical data in reports and invoices. Strong organizational skills with attention to detail in filing, record retention, and documentation. Effective written and verbal communication skills suitable for a front desk and administrative support role. Additional Skills & Qualifications Experience in the metals industry is a plus and will help you quickly understand the products and processes at the facility. Familiarity with manufacturing or industrial environments, particularly those serving multiple industries such as healthcare or aerospace, is beneficial. Comfort working with structured procedures and protocols for purchasing, maintenance, and safety. Ability to adapt to changing priorities and take on additional administrative tasks as business needs evolve. Work Environment The role is based on-site at a manufacturing facility that employs approximately 140+ people, with about 25 working in office roles. You will work at the front desk area, serving as a key point of contact for visitors and supporting office operations. The facility produces small metal pieces and flakes used in products for various industries, including emerging applications and other locations that support sectors such as healthcare and aerospace. The standard schedule is Monday through Friday, 7:30 a.m. to 4:00 p.m., providing a consistent daytime work routine. The environment combines office work with proximity to production operations, so awareness of safe work practices and environmental considerations is important. The dress code is business casual, and jeans are acceptable, allowing for a professional yet comfortable attire suitable for both office and light industrial surroundings. Job Type & Location This is a Contract position based out of Leesport, PA. Pay and Benefits The pay range for this position is $25.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
