Job Description

PCI Auction Group 141 West End Ave, Manheim, PA We are looking for a highly organized, detail-oriented, self-starting administrative professional to take ownership of the day-to-day administrative work associated with a large REEF account. This is a full-time position for someone who is comfortable working independently, researching information, following up with multiple parties, and keeping detailed records. This person will play an important role in making sure title and documentation issues are identified, tracked, resolved, and properly documented. What You'll Do Manage and maintain detailed records for REEF inventory and sold units Track vehicle and trailer titles , supporting documentation, VINs, and registration-related information Research missing or incomplete title information and determine where documentation should have originated Communicate with REEF, title companies, government agencies, customers, and other third parties to obtain missing documentation Follow up persistently on outstanding titles and paperwork Track the status of each unit and maintain accurate notes and documentation Research VIN/title information and assist with determining appropriate next steps when documentation is missing Maintain spreadsheets and administrative tracking systems Organize documentation so information can be easily located and audited Identify discrepancies, missing information, and potential problems before they become larger issues Communicate professionally with customers regarding title and documentation matters when needed Assist with resolving historical administrative issues associated with REEF inventory Provide regular status updates and reports on outstanding items Handle general administrative duties related to the account as needed What We're Looking For This position requires someone who is exceptionally detail-oriented.
You should be someone who:
Is a self-starter and doesn't need constant supervision Can take a large, messy set of information and organize it into something manageable Has excellent follow-through Is comfortable making phone calls, sending emails, and actually following up Enjoys research and problem-solving Has strong organizational and documentation skills Is proficient with Excel/Google Sheets and comfortable working with large spreadsheets Can manage multiple priorities without losing track of details Notices inconsistencies and asks questions when something doesn't make sense Is comfortable working independently and taking ownership of a project Communicates clearly and professionally Understands that accuracy matters Experience Administrative, title/DMV, automotive, auction, logistics, dealership, insurance, or records-management experience is a plus. Notary experience or an active Notary Public commission is a plus. The right person with strong organizational and administrative skills can be trained on the specifics of our process. This is not a position for someone who needs constant supervision.
