Attendance Clerk The Attendance Clerk is responsible for maintaining accurate attendance records for children enrolled in the Pre-K Counts program. This position ensures compliance with state, program, and district attendance requirements by tracking daily attendance, documenting absences, communicating with families, and preparing attendance reports. The Attendance Clerk serves as a liaison between families, teachers, and administration to support student attendance and program participation.
ESSENTIAL FUNCTIONS
Record and maintain daily student attendance in the designated student information system. Verify attendance submissions from classroom teachers and ensure accuracy of records. Contact parents/guardians regarding student absences, tardiness, and attendance concerns. Collect and maintain documentation related to excused and unexcused absences. Prepare daily, weekly, monthly, and annual attendance reports as required by Pre-K Counts guidelines and program administration. Monitor attendance trends and alert supervisors to excessive absences or potential attendance issues. Assist families with attendance procedures and provide information regarding attendance policies. Maintain confidential student and family records in accordance with FERPA and program requirements. Support enrollment and withdrawal procedures by updating attendance and student records. Collaborate with teachers, family engagement staff, and administrators to improve student attendance. Answer phones, greet visitors, and provide general clerical support as needed. Perform data entry, filing, scanning, and other administrative duties related to program operations. QUALIFICATIONS
High school diploma or equivalent required. Associate degree in Business Administration, Education, or a related field preferred. Must complete all
Standard Child Care Requirements:
To pass an annual physical examination. Act 33/34 Clearances. Annual training in first aid, water safety and fire safety. CPR certification within 90 days. May be required to have a Pennsylvania driver's license. Must be able to lift 40-50 pounds. Must be 18 years old or enrolled in a qualifying training program. High School Diploma or
GED. KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of attendance procedures and recordkeeping practices. Proficiency with Microsoft Office Suite and student information systems. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to maintain confidentiality of student and family information. Strong attention to detail and accuracy. Ability to work independently and as part of a team. Customer service skills and the ability to interact respectfully with diverse families and staff.
WORK ENVIRONMENT & PHYSICAL DEMANDS
Primarily office-based environment within an early childhood education setting. Frequent use of computers, telephones, and office equipment. Occasional interaction with students, families, and community partners Ability to sit for extended periods. Ability to use standard office equipment, including computers and telephones. Ability to lift and carry materials weighing up to 20 pounds. Ability to move throughout the facility as needed.
