Job Description
Administrative Assistant, Graduate Social Work and Department of Social Work Mechanicsburg, PA, United States This position provides administrative and project support to the undergraduate Department of Social Work (SOWK/BSW) and the Master of Social Work (MSW) graduate program. Responsibilities include serving as the first point of contact for visitors, faculty candidates, and students; data entry; project and event coordination; budget oversight; maintenance of the program website and social media sites; a high volume of general support responsibilities, including field placement and accreditation-related tasks; and assisting with school-wide functions as necessary, as determined by the dean. This is a part-time position at 25 hours per week during the academic year and 16 hours per week in the summer.
Primary Duties:
Provide support to the Director of the MSW program and the Department Chair of the
SOWK/BSW
program. Manage daily administrative operations for the undergraduate and graduate departments of social work: mail distribution, ordering supplies, messages, telephone, faculty schedules, syllabi, photocopying, coordination with technology services, preparation of department meeting minutes, oversight of audio-visual equipment, processing of reimbursement requests and purchase orders, etc. Execute administrative tasks delegated by supervisors. Support the MSW Field Director and BSW Field Director as assigned, including assisting with communication and contracts with stakeholders, collection and maintenance of student records, clearances, and forms, and coordination of related mailing and filing of data and forms. Manage program budgets, provide monthly budget reports, process reimbursements, and allocate Visa transactions for directors. Serve as primary contact with vendors. Manage MSW admission processes, including generating correspondence, tracking student responses, scheduling interviews as needed, and following up on course registrations. Coordinate special events and programs, including but not limited to: program recruiting events such as virtual open houses and meetings; on-campus open houses for prospective students; welcome-back events; annual Christmas party; alumni and student events; and Senior Celebration. Maintain and update department manuals and documents, including the Student Handbook, letters of acceptance/denial, and orientation materials. Assist with the preparation and dissemination of promotional materials. Work with the marketing department on promotional materials and website development. Manage social media accounts for the social work departments across designated platforms. Support adjunct faculty members in regard to hiring processes and course logistics. Assist with reports and details needed for CSWE accreditation, including scheduling of site visits. Work with faculty and chair/directors to collect and track student assessment data and other annual reports. Manage day-to-day logistics associated with faculty searches (as needed), including scheduling, travel, reimbursement, and catering. Manage work-study student tasks and time sheets. Manage archived student files in accordance with regulatory agency and University requirements. Assist with CEU event planning, registration, and certificate preparation. Maintain consistent and reliable attendance. Other duties as assigned.
Qualifications Education Required:
Associate's degree
Education Preferred:
Bachelor's degree.
Experience Required:
Minimum of one to two years of administrative or office support experience

Proficient computer skills, including the ability to work independently in Banner, Excel, Canvas, CALM, Discoverer, Word, and Outlook; basic understanding of web design preferred. Ability to maintain and generate various reports (budgets, accreditation reports, program meeting minutes, applicant data, and related paperwork). Understanding of compliance and regulations related to higher education. Ability to work independently on complex projects with minimal oversight. Ability to supervise and direct work-study students.
