Job Description
Summary The primary purpose of the Administrative Assistant can vary from location and department but will always provide location support through administrative and clerical duties. Essential Duties and Responsibilities Provides administrative support to designated lab office location and/or assigned departments and teams. Keeps, maintains, and orders inventory on company provided supplies and/or raw materials Performs data entry to support business processes using company software and systems with accuracy and attention to detail. Receives incoming mail, communications, emails, and phone calls, handling when appropriate or distributing to the proper recipient when not Assists customers with product/material sales or related inquires Assists customers and corporate accounting with billing and invoice inquires and process payments as needed Work closely with Human Resources and Safety to maintain a variety of compliance Assists with Lab record keeping and maintenance records for compliance Other projects and responsibilities as deemed necessary for business Skills and Education Required High School diploma or GED equivalent 1-2 years of administrative experience 1-2 years of customer service experience Proficient in Microsoft Office Products Well established organizational skills with strong attention to detail, record-keeping skills, and excellent verbal and written communication skills Ability to maintain confidentiality Valid Drivers License Preferred Experience in a construction, manufacturing, or production related industry Knowledge and experience in inventory and billing systems Knowledge of AASHTO and ASTM standards Job Requirements Ability to work in a team environment with lab personnel, as well as the ability to work independently without close supervision Ability to work closely with customers and outside vendors on a regular basis Must be able to work overtime as needed Ability to perform work which requires frequent and regular movement of wrists, hands, and/or fingers Ability to perform primarily sedentary work, yet occasionally exert up to 50 pounds of force on occasion Ability to see, hear, talk, and perform tasks requiting manual dexterity Ability to operate standard office equipment including a computer, copier, fax, phone and other similar office equipment Working hours for this position are 7am to 3pm Work Environment Varying based on location and department, this position requires the majority of its responsibilities be performed in an asphalt PG and emulsions lab/office. Work conditions may involve limited exposure to chemicals, fumes, dust, odors, gases, and other substances used in an asphalt lab environment.
