Job Summary:
The Administrative Assistant•Attendance is responsible for managing and maintaining all middle school attendance processes and records in accordance with district policies and state requirements. This position supports student attendance, discipline, and truancy procedures by preparing reports, correspondence, legal documentation, and data summaries while ensuring accuracy, confidentiality, and timely communication with students, families, and staff. The role also provides administrative and front office support, assists with school operations and reporting systems, and collaborates closely with administrators, counselors, and faculty to promote a safe, organized, and supportive school environment. This position demonstrates strong organizational, communication, and problem-solving skills while upholding the district's mission and commitment to a safe, supportive learning environment.
Primary Duties and Responsibilities:
Implements and manages all district attendance procedures for middle school students, including monitoring daily attendance, coding absences, tracking medical excuses, processing late arrivals and early dismissals, and maintaining accurate records in the student information system. Prepares and distributes required attendance correspondence, including 5-day, 10-day, and 1st through 4th unexcused absence notifications to parents/guardians. Prepares truancy citations and compiles attendance documentation and hearing packets for District Justice proceedings. Generates and maintains monthly, annual, and ad hoc attendance reports and summaries for administrative use. Serves as a member of the Middle School Truancy Team by preparing attendance reports and supporting the development of Truancy Elimination Plans for identified students and families. Maintains records of parent/guardian attendance notifications to ensure accurate communication and exclusion from automated attendance calls when appropriate. Collects, reviews, and verifies travel documentation to ensure compliance with district attendance policies and approval requirements. Collects, compiles, and enters attendance data to prepare the Daily Master Sheet and other required reports. Collects, reviews, and verifies incident reports to ensure accurate documentation and timely distribution to appropriate personnel and offices. Prepares and distributes official discipline-related correspondence, including parent/guardian notifications, student notices, and staff communications. Produces daily discipline status reports and ensures accurate inclusion of discipline information on the Daily Master Sheet. Supervises students assigned to the office and maintains appropriate student conduct during office visits. Coordinates calendars, schedules meetings, and assists with administrative event planning and support. Provides front office support by answering phones, assisting students, parents, and visitors, and responding appropriately during student-related emergencies or crises. Generates conduct, violence, and student performance reports using PowerSchool, Success for All, PVAAS, and e-Metrics systems. Develops spreadsheets, presentations, and data reports to support administrators, counselors, and school operations. Collaborates effectively with administrators, faculty, and staff to support efficient departmental operations and school initiatives. Maintains positive working relationships through professional communication, teamwork, and a strong commitment to confidentiality. Promotes a safe, secure, and supportive environment for students, staff, and visitors while upholding district policies and procedures. Demonstrates sound judgment and decision-making consistent with the ELANCO mission, vision, and core values. Performs additional duties and responsibilities as assigned by the supervisor.
Qualifications:
High school diploma required. One to three years of administrative experience required, preferably in a school district or public sector. Submission of pre-employment medical examination (Section 148 of the PA School Code) Submission of the following clearances: PA State Criminal History Record (Act 34 & Act 114) PA Dept. of Public Welfare Child Abuse History Clearance (Act 151 & Act 114) Federal (FBI) Background Check (Act 24) Such alternatives to the above qualifications as the Board may find appropriate and acceptable Applications will be accepted until the position is filled.
