POSITION GOAL
Provide secretarial and clerical support to the Athletics Department.
ESSENTIAL DUTIES & RESPONSIBILITIES
Responsible for checks, deposits, and recording Athletics and Activities financials. Process payments using various software systems including Quickbooks. Provide secretarial services including correspondence, filing, mail, phone messages and appointments. Interface with all levels of employees and external contacts; provide assistance and information, and respond to routine inquiries and requests. Collect and assemble data as needed. Process purchase orders and requests. Maintain a student-athlete eligibility report in order to ensure compliance with PIAA participation regulations. Update seasonal athletic schedules (i.e. event dates and locations). Maintain files and records. Assist with Athletic Scheduling and facility usage as directed by Director of Athletics. Compile an Extracurricular Activities Report to document each season's athlete participation amount. Observe established policies and procedures. Distribute notifications of event changes (e.g. postponements, cancellations, location adjustments, etc.) as required. Open, sort, and process incoming mail. Maintain office supplies.
QUALIFICATIONS
To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skill and/or ability necessary. High School diploma or equivalent. Proficient computer skills, including word processing, spreadsheet and database applications. Bookkeeping experience preferred. Proficient clerical skills, including organizational skills, with the ability to work independently with frequent interruptions and to meet deadlines. Ability to demonstrate diplomacy when dealing with parents, teachers, staff, community members and other external contacts; and to maintain confidentiality. Submission of PA School Personnel Health form. Current Act 34, Act 151 and Act 114 clearances. This position description does not express or imply that these are the only duties to be performed by the incumbent in this position. The employee will be required to perform any other position-related duties as requested by the supervisor.
TERMS OF EMPLOYMENT
262 days per year; 8 hours per day. Salary and benefits according to the negotiated agreement between the Board of School Directors and the International Brotherhood of Teamsters, Local 384.
