The Administrative Assistant provides essential administrative, organizational, and operational support to help the organization function effectively and advance its mission. This part-time, on-site position serves as an important point of coordination among staff, board members, community partners, donors, and other stakeholders. The ideal candidate is highly organized, dependable, proactive, and service-oriented, with strong communication skills and the ability to manage multiple priorities while maintaining accuracy and confidentiality. The Administrative Assistant will help create structure, consistency, and efficiency across day-to-day operations and will contribute to a positive and professional experience for everyone who interacts with the organization. The Administrative Assistant reports directly to the Executive Director.
Key responsibilities include:
Provide day-to-day administrative support to the Executive Director and staff Manage calendars, schedules, appointments, meetings, and organizational communications Prepare correspondence, reports, presentations, agendas, and meeting materials Maintain organized electronic and physical files, records, databases, and contact lists Respond to phone calls, emails, and inquiries in a timely and professional manner Assist with newsletters, announcements, mailings, social media, and other communications Support programs, events, meetings, and special initiatives, including logistics and follow-up Assist with invoices, receipts, expense documentation, payments, and other financial recordkeeping Support employee and fiscal sponsor onboarding Maintain organizational systems, templates, procedures, and shared resources Track deadlines and follow-up items and help ensure administrative responsibilities are completed on time Identify opportunities to improve processes, increase efficiency, and create greater consistency Assist with special projects and provide additional support during periods of increased activity
Qualifications:
High school diploma or equivalent required; associate or bachelor's degree preferred 2+ years of administrative, office, nonprofit, customer service, or related experience preferred Strong organizational, written, and verbal communication skills Excellent attention to detail and ability to manage multiple priorities Proficiency with Microsoft Office and Google Workspace Ability to work independently while also collaborating effectively with a team Professional, reliable, and comfortable handling confidential information Strong judgment, flexibility, and a willingness to take initiative Nonprofit experience is a plus
