Clerical Supervisor Salary $55,812.03 Annually Location District Court 15-3-01, Pottstown, PA Job Type Full Time, Non Exempt Job Number 04587 Department District Court Division Dist Court 15-3-01 Coventry Opening Date 06/16/2026 Closing Date Continuous Weekly Hours 35 Shift 8:30 AM to 4:30 PM Description Benefits Questions Summary The Clerical Supervisor provides supervisory clerical support, office management support, and administrative secretarial support services to ensure that clerical support and office functions are maintained at an acceptable level to meet departmental needs. Essential Duties Essential duties, tasks and accountabilities will vary and may include the following: Provide secretarial support to administrative and supervisory staff (e.g., personnel documents, contractual documents, correspondence). Oversee telephones, cell phones, pagers, office keys, housekeeping, conference room reservations and other facility-related issues. Maintain and order office supplies and equipment. Serve as liaison to General Manager. Assign, direct, instruct, support and follow-up clerical typing assignments and special projects (e.g., Senior Picnic, Senior Games, manuals, large mailings). Interview potential staff, train new clerical staff and perform yearly evaluations. Oversee clerical staff (e.g., ensure receptionist/telephone coverage; delegate assignments; oversee daily task schedule, such as data entry, mail delivery). Oversee and maintain computer and departmental filing system. Process mail. Perform clerical tasks, when necessary (back-up receptionist, telephone, filing, copying, data entry, mail routing, typing, etc.). Provide Advisory Council secretarial support. Perform other duties, tasks and special projects, as required. District Court Supervisor of all full and part time support staff on daily basis. Ensure that all State and County policies, rules, and procedures are adhered to on daily basis. Responsible for all financial reports (weekly, monthly, and annual) to State, County, and Municipal government. Responsible for daily maintenance of District Court checking accounts, including daily deposit preparation and monthly reconciliation. Responsible for daily assignments of work to support staff and ensuring smooth court operations. Considered personal staff to the Magisterial District Judge. Responsible for personal correspondence, MDJ's schedule, etc.... Responsible for compliance and preparation of yearly County and State audits including County procedural audits. Responsible for compliance with state retention schedule; preparing records for archives, destruction, etc... Prepare/assist with annual performance review of support staff. Interact with District Justice Administration staff. Respond to inquiries or request for data from District Justice Administrator. Train/make arrangements for training of new support staff or cross train of experienced staff. Prepare bi-weekly supply order requests and maintain supply inventory. Maintain relationship with facility landlord. Ensure sufficient staffing for on-call rotation. Prepare and submit accurate attendance records to District Justice Administration. Monitor vacation, sick and personal time. Assist Magisterial District Judge with interviews for vacant support staff positions. Deal with difficult customers. Responsible for receiving, opening, sorting daily mail for processing. Responsible for maintaining confidentiality Ensure that security measures in court are applied. Have knowledge of each Magisterial District Court departments (Civil, Criminal, Traffic, Non-Traffic)
Qualifications/Preferred Skills, Knowledge & Experience Minimum Requirements:
Associate's degree from an accredited college or university, or equivalent combination of education and experience. One year of moderately complex clerical work experience; or any equivalent experience and/or training that provides the required knowledge, skills and abilities. Intermediate skill to use a personal computer and various software packages. Strong verbal and written communication skills. Customer service experience or skills. Ability to work independently and proceed with objectives. Strong grammar and spelling skills. Ability to maintain confidential information and handle sensitive matters. Ability to work as part of a team. Ability to multi-task and carry tasks to completion. Accurate and detail-oriented. Ability to establish priorities. Ability to coordinate and direct work assignments. Ability to interface effectively with all levels of County management. Strong working knowledge of bookkeeping, budgets, spreadsheets and interpreting audits A valid driver's license may be required.
