JOB SUMMARY
Provide clerical support to the Supervisors of Special Education in a manner that is professional, diplomatic, and complies with confidentiality requirements.
PRIMARY DUTIES AND RESPONSIBILITIES
Perform clerical duties, including but not limited to answering the phone, opening and distributing mail, typing correspondence, and memos, and filing. Review IEPs/GIEPs and send back to Case Managers if corrections are needed. Set up state reporting for each IEP that is processed. Assign caseloads within the IEP writing system and update as needed for teachers, therapists and Guidance Counselors for IEPs, GIEP and 504s. Keep the Full Time Equivalent document up to date weekly so that caseload maximums and minimums are assured. Assist with the online management of the special education software system. Provide the transportation company with specialized transportation information from IEPs at the start of the school year and when requested or changed. Manages calendar for Supervisors of Special Education and assists with meeting preparations. Oversee tracking in state and district databases for students receiving special education services and staff to include transportation, scheduling as well as confidential records of these students. Distribute student records by Email as requested by other districts (when withdrawals occur) as well as request documents from students' previous districts and upload to IEP writer system and set up reporting. Attend and participate in all required meetings and training sessions. Support the Pupil Services Team with all compliance monitoring and corrective action processes as outlined by the state. Provide receptionist coverage on a rotating basis and as needed. Review processed IEPs to ensure the school team has Esigned the document. If signatures have not been received, reach out to let them know another link will be coming to Esign. Communicate with the MCIU in the coordinating of EI student records and evaluations. Distribute student records by Email as requested by other districts when withdrawals occur as well as request documents from students' previous districts and upload to IEP System and set up reporting. Communicate with alternative schools concerning placement of students to include setting up in-take procedures and transportation arrangements. Address parent needs via all forms of communication including unscheduled visits to the District Office. Assist with the coordination of extended school year services with oversight from the Special Education Supervisors. Perform other duties as assigned by the Director of Pupil Services and Supervisors of Special Education.
QUALIFICATIONS
One (1) experience in a business environment necessary High School diploma required Secretarial or business school preferred Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code) Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code) FBI Criminal History Record Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994 Such alternatives to the above qualifications as the Board may find appropriate and acceptable
