Position Overview We are seeking an exceptionally detail-oriented, proactive, and highly organized Executive Assistant to provide direct support to our Principal and play a key role in ensuring the smooth operation of Athena's administrative, communications, and organizational systems. This role requires exceptional judgment, professionalism, and discretion, as you will handle sensitive information and represent Athena to a wide range of internal and external partners. The ideal candidate is a natural problem solver who anticipates needs, stays three steps ahead, and thrives in a dynamic missiondriven environment. Key Responsibilities Serve as the Principal's primary point of contact for internal and external communications, often handling confidential and time-sensitive matters. Manage all incoming correspondence and mail and distribute it to the team weekly. Manage complex calendars, prioritize and schedule meetings, and prepare supporting materials. Prepare and send correspondence to partners, vendors, clients, and families. Coordinate travel, events, and meeting logistics, ensuring smooth execution and timely follow-up. Draft and manage correspondence, reminders, and background research on behalf of the Principal. Support internal and external presentations, communications, and speaking engagements. Maintain contact databases, records, and key organizational documents. Provide administrative support across Athena's departments as needed. Qualifications Associate's or Bachelor's degree (or equivalent combination of education and experience). Minimum of 3 years of executive-level administrative experience. Outstanding organizational and communication skills—both written and verbal. Exceptionally detail-oriented with the ability to complete tasks with consistent accuracy and nuance. High proficiency with Microsoft 365, Outlook, Excel, PowerPoint, and Zoom. Experience with Kofax and Salesforce preferred. Proven ability to manage multiple priorities, meet deadlines, and work independently. Demonstrated discretion in handling confidential information and professionalism in representing leadership.
