Job Description

RPM eco, Inc. is growing, and we are looking for an organized, motivated, and tech-savvy Administrative Assistant to join our small but dynamic U.S. team. RPM eco, Inc. helps businesses collect, recycle, and responsibly manage industrial containers and materials, supporting environmental sustainability throughout North America. This is more than a traditional administrative role. As a key member of our team, you will have the opportunity to help shape a brand-new position, learn the inner workings of a growing business, and contribute to operational planning as our organization expands. As the Administrative Assistant, you will support daily office operations while serving as a vital link between our operations, accounting, logistics, and leadership teams. This Monday through Friday position offers flexible start and end times, with the possibility of some remote work once the role is established.
Key responsibilities include:
Answer incoming calls and provide professional customer service. Manage incoming and outgoing correspondence, emails, and office communications. Coordinate information and documentation between the U.S. operation and corporate staff in Montreal. Scan, organize, and forward invoices and supporting documentation to the accounting team. Prepare, process, and maintain shipping and receiving paperwork. Assist with scheduling inbound and outbound truck shipments. Maintain accurate electronic and paper filing systems. Support inventory, operational, and administrative recordkeeping. Coordinate office supplies and administrative resources. Assist with data entry, reporting, and document preparation. Support customer and vendor communications as needed. Learn operational processes and participate in business planning discussions. Identify opportunities to improve administrative processes and office efficiency. Perform other administrative and operational support duties as assigned.
Qualifications:
High school diploma required; associate degree or relevant business training is a plus. Previous administrative, office support, customer service, logistics, or operations experience preferred. Strong computer skills with proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams. Experience with Microsoft Business Central is a strong plus. Excellent organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills. Must be comfortable communicating with team members across locations and supporting business activities that involve both the U.S. and Canadian operations. Self-motivated with the ability to work independently. Comfortable learning new systems and processes. Professional, positive, and team-oriented attitude. Experience in transportation, logistics, recycling, manufacturing, or industrial environments is helpful but not required.
