Job Description

Job Summary This is a part-time position and hours will vary based on the season; 15-20 hours a week. The Administrative Assistant provides comprehensive administrative and operational support to the CEO and CFO. This role is responsible for managing company assets and compliance records, coordinating with vendors, assisting with HR and benefits processes, and ensuring that day-to-day business operations run efficiently. The Administrative Assistant must maintain a high level of confidentiality, organization, and attention to detail while supporting leadership and the broader team. Essential Job Responsibilities Administrative & Leadership Support Provide direct administrative support to the CEO and CFO, including scheduling, correspondence, and document preparation. Assist with meeting coordination, agendas, and follow-up tasks. Support special projects and initiatives as assigned by leadership.
  • Skilled at tracking deliverables, deadlines, and ensuring accountability.
  • Ability to conduct research, analyze data, and prepare executive-level summaries and recommendations.
Operations & Asset Management Maintain inventory of company vehicles, including swaps, sales, and recordkeeping. Manage employee equipment (phones, iPads, computers, chargers, drones, etc.). Register drones and users on the FAA website and ensure compliance requirements are met. Track and maintain compliance records for CDL drivers (CSI system). Vendor & Compliance Management Serve as point of contact with external partners including Lockton (business insurance), Encova (workers' compensation), Verizon, and Veith (invoices). Review and reconcile Wex invoices. Coordinate insurance documentation and compliance needs with appropriate vendors. Human Resources & Benefits Support Partner with outsourced HR consultant to: Assist with employee open enrollment, including manual data entry into iSolved and coordination with multiple benefit vendors. Set up and track medical exams as required. Support HR recordkeeping and compliance processes as needed. General Administrative Support Communicate with leadership, vendors and internal staff as directed by the CEO and CFO. Manage expense reports and track payments. Provide general office support to ensure smooth daily operations. Other tasks as assigned Requirements
  • Minimum of 2 years of administrative support experience.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
  • Proficient in calendaring.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience supporting executive-level leadership.
  • Familiarity with HR processes, benefits administration, or compliance tracking.
  • Experience with vendor management or working with insurance providers.
  • Knowledge of iSolved or similar HRIS systems preferred.
