This is a great opportunity for an Administrative Assistant who enjoys supporting senior leadership, managing complex schedules, coordinating travel, and keeping day-to-day operations running smoothly in a professional, fast-paced environment.
Job Description:
The Administrative Assistant will provide high-level administrative support to multiple senior leaders and internal teams. This role requires someone highly organized, detail-oriented, flexible, and comfortable managing shifting priorities throughout the day. The ideal candidate is collaborative, proactive, polished, and able to work independently while also contributing to a team-oriented administrative support structure.
Key Responsibilities:
Manage busy and frequently changing calendars for multiple senior leaders Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, and related logistics Schedule and support internal and external meetings, including leadership meetings, board meetings, and investor-facing meetings Track and process expense reports through Concur Serve as a point of contact for internal teams, external partners, and other stakeholders Assist with office and administrative operations, including vendor coordination, supplies, and workflow support Anticipate scheduling conflicts, adjust priorities quickly, and help ensure leaders are prepared for meetings and travel Handle confidential business, financial, and personnel-related information with discretion
Qualifications:
2-4 years of administrative experience in a professional office environment Experience supporting multiple executives, senior leaders, or managing partners Strong calendar management and meeting coordination experience Heavy travel coordination experience, including complex domestic and/or international travel Proficiency with Microsoft Outlook and Concur required Strong Microsoft Office skills Excellent communication, organization, time management, and follow-through Ability to work independently, take initiative, and stay calm when priorities shift Team-oriented, adaptable, low-drama, and solutions-focused approach Professional presence and comfort working in a fast-paced environment
