Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! As an energetic and proactive member of our organization, you will be the backbone of our administrative functions, ensuring smooth communication, efficient data management, and exceptional customer service. Your expertise in office management and technical proficiency will help us maintain a professional and welcoming environment for clients, staff, and visitors alike. Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette Perform data entry and maintain accurate records using spreadsheets, Microsoft Office applications, Google Workspace, and bookkeeping software Coordinate calendar management and schedule appointments for team members and clients with precision Handle clerical tasks such as filing, proofreading documents, and preparing Word processing reports to support daily business activities Assist with office management duties including supply inventory, organization of files, and ensuring a tidy workspace Provide exceptional customer support by addressing inquiries promptly via phone or email and maintaining positive client communication Support specialized roles such as medical or dental receptionist duties when needed, including patient scheduling and record keeping Skills Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and productivity software to enhance efficiency Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent communication skills—both verbal and written—with a focus on professionalism and clarity Technical proficiency in office management tools like QuickBooks for bookkeeping and multi-line phone systems for seamless communication Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated experience in clerical work, data entry, filing, proofreading, and calendar management Knowledge of front desk operations within medical or dental settings is a plus but not required Join us to be part of a vibrant team where your administrative expertise makes a real difference!
