About the Role We are looking for an organized, dependable, and proactive Administrative Assistant to support our day-to-day office operations. In this role, you will be the backbone of our daily workflow—handling client and employee intake, keeping our schedules on track, managing emails, assisting with basic payroll prep, and maintaining smooth office organization. Key Responsibilities Communication & Inbox Management:
Monitor, prioritize, and respond to incoming emails and phone inquiries in a professional, timely manner.
Intake Coordination:
Process incoming client and new employee intake paperwork, ensuring all details are accurate and filed correctly.
Scheduling:
Coordinate and manage daily calendars, client appointments, and staff shift schedules.
Outreach & Follow-Up:
Conduct routine check-ins with clients, team members, and partners via phone or email.
Basic Payroll & Billing Prep:
Gather timesheets, verify hours, and assist with light payroll preparation.
Office Organization:
Keep digital files, physical records, and office supplies organized, up-to-date, and easily accessible.
Qualifications & Skills Experience:
1-2+ years of administrative, receptionist, or office support experience preferred.
Tech-Savvy:
Comfortable with email systems, digital calendars, spreadsheets, and learning internal software quickly.
Microsoft Software Proficiency:
Proficient with Microsoft Office / 365 (Word, Excel, Outlook) and general digital tools/spreadsheets.
Detail-Oriented:
Exceptional organizational skills and high attention to detail (nothing slips through the cracks).
Communication:
Clear, warm, and professional verbal and written communication skills.
Reliability:
Self-motivated, prompt, and capable of prioritizing tasks independently.
Work Hours & Flexibility Total Hours:
18 hours per week (3 days a week, 6-hour shifts).
