Job Description
The Administrative Assistant - Scheduling position supports the operations of GraceLyn Group by maintaining accurate scheduling data, coordinating coverage for open shifts, and keeping the scheduling system current and reliable. This remote position also assists with maintaining staff records in compliance with regulatory requirements. This position reports to Senior Directors. Objectives
- Keep staff scheduling accurate and up-to-date
- Maintain staff scheduling information and profiles, such as availability, skill proficiencies, and certifications
- Communicate scheduling and shift coverage updates promptly and effectively
- Proactively address scheduling issues
- Assist with administrative tasks to keep workflows smooth
- Other objectives as assigned Responsibilities
- Coordinate coverage for staff call-outs
- Staff the on-call coverage line in rotation with others
- Generate, review, and submit scheduling and staffing reports
- Document call-outs, coverage actions, and schedule adjustments
- Identify and communicate schedule coverage gaps to Senior Directors
- Identify and communicate system and/or technical issues to Senior Directors
- Other responsibilities as assigned Required Qualifications
- Have previous experience in scheduling, administrative support, or coordination roles
- Have strong interpersonal relationship skills
- Have strong communication skills, both written and verbal
- Have familiarity with scheduling software
- Ability to work a flexible schedule, including nights and some weekends
- Demonstrated accuracy in maintaining scheduling systems with minimal errors
- Strong organizational skills and attention to details
- Ability to manage time-sensitive tasks independently in a remote environment Desired Qualifications
- Have at least 2 years of experience in scheduling, administrative support, or coordination roles
- Prior experience working with TCP Humanity software Compensation
- Full Time Employment
- $40,000-$50,000 annual salary
