W2 Contract Alphanumeric is hiring an Administrative Assistant to support the Site Director and Site Leadership Team at our client's pharmaceutical manufacturing facility in Zebulon, NC . We've partnered with this client for more than 20 years, supporting their mission to improve lives through medical and pharmaceutical advancements. This is not a traditional entry-level administrative position. We're looking for an experienced administrative professional who is comfortable supporting senior leadership, managing complex schedules and priorities, coordinating high-level meetings and site activities, and serving as a trusted partner in a fast-paced manufacturing environment. What You'll Do Manage complex calendars, travel and scheduling for the Site Director and Site Leadership Team , including cross-time-zone and shift-based meetings. Coordinate travel and complete expense reporting through Concur . Process non-GMP purchase orders using Ariba and SAP . Coordinate Tier 4 and site governance meetings , including agendas, pre-reads, meeting minutes and action trackers. Track leadership decisions, action items, milestones, risks and dependencies and proactively follow up on outstanding items. Coordinate meeting rooms, visitors, catering, technology and other onsite logistics. Maintain site and functional distribution lists for new hires, transfers and departing employees. Serve as the site's master timekeeper , providing backup support for employee time records in Workday and helping ensure payroll deadlines are met. Coordinate visits from global leaders, regulators, customers and business partners, including itineraries, transportation, lodging, meeting logistics and site tours. Support employee engagement initiatives, recognition programs, town halls and other site events in partnership with Communications and HR. Handle sensitive leadership and business information with a high degree of professionalism, judgment and discretion. What We're Looking For 5+ years of Executive Administrative or Executive Assistant experience. Experience supporting senior leaders, executives or a leadership team in a complex organization. Strong calendar management, meeting coordination and organizational skills. Proficiency with Microsoft Office and collaboration tools, including Point. Excellent written and verbal communication skills. Strong attention to detail and the ability to independently manage multiple priorities. A proactive, anticipatory approach-you see what needs to happen next and follow through. Ability to work effectively with employees at all levels, from senior leadership to site-based operational teams. High school diploma or equivalent required; Associate degree preferred . Highly Preferred Administrative experience within pharmaceutical manufacturing, biotechnology, life sciences or another regulated environment . Experience with SAP, Ariba, Concur and/or Workday . Experience supporting site governance meetings, executive visits, town halls or large employee events. Important W2 Eligibility Information This position will be employed directly by Alphanumeric on a W2 basis. Candidates must be eligible to work directly on Alphanumeric's W2 without requiring sponsorship now or in the future.
