Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Handle multi-line phone systems, answering inquiries promptly and routing calls efficiently using proper phone etiquette Maintain accurate data entry and filing systems, including digital records via Google Workspace and Microsoft Office applications Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings Perform clerical duties including proofreading documents, managing correspondence, and preparing reports with attention to detail Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records Provide exceptional customer service by supporting clients, vendors, and team members with timely responses and support Experience Proven office experience or administrative background demonstrating strong organizational skills and multitasking abilities Familiarity with office management tools such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Experience handling multi-line phone systems and practicing professional phone etiquette Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Previous clerical experience including data entry, filing, proofreading, and calendar management is preferred Knowledge of medical or dental receptionist duties or personal assistant experience is a plus but not required Strong computer literacy combined with excellent time management skills to prioritize tasks efficiently Join us as an Administrator where your proactive mindset and dedication will make a meaningful impact every day!
