We are looking for a full-time, in-office Front Desk Administrative Assistant to help keep our office organized, professional, and moving forward each day. This is an entry-level administrative role with growth potential. You do not need law firm experience to apply. The right person will be professional, punctual, comfortable with learning technology, able to follow systems, and willing to support attorneys and staff with important administrative work. About the Role The Front Desk Administrative Assistant helps make sure the office is open, organized, stocked, and professionally covered each business day. This person will sit at the front desk, help prepare the office for the day, greet clients and visitors, assist with administrative tasks, support attorneys and staff with reminders and follow-up, help with scanning and saving documents, and serve as a backup for phones when needed. This role is not responsible for giving legal advice or handling substantive legal work. However, the person in this position will assist with legal administrative support and may grow into additional legal assistant responsibilities over time. Expected schedule:
Monday through Friday 8:30 a.m. to 5:00 p.m. The employee must be in the office by 8:30 a.m. each workday because the role includes participating in the morning call and helping open and prepare the office before the front door opens to clients at 9:00 a.m. Reliable attendance and punctuality are essential for this position. Compensation:
$20 hourly
Responsibilities:
Greet clients and visitors warmly and ensure the reception area is professional and tidy. Answer and transfer phone calls promptly with a positive, professional tone. Handle scanning, filing, and document organization with accuracy. Make calls when needed to clients or vendors in a personable, professional manner. Follow through with attorneys, paralegals, billing, and clients to ensure tasks are completed and deadlines met. Learn office systems (scanner, phones, Clio, Dropbox, etc.) and be comfortable with technology. Assist the legal team with administrative functions where training is provided. Assist the billing team by calling clients for funds and handling customer service-related communications. Support the firm with general administrative tasks and step in where needed. The Front Desk Administrative Assistant will be responsible for: Opening and preparing the office each business day Participating in the morning call Keeping the front desk, lobby, conference rooms, and shared office areas organized and client-ready Greeting clients, visitors, vendors, and team members professionally Serving as backup for phones when the remote assistant is unavailable Helping schedule, confirm, and remind people about appointments or meetings Assisting attorneys and staff with administrative follow-up Scanning, saving, tagging, uploading, and routing documents as instructed Assisting with documents dropped off by clients Helping attorneys stay on top of time-entry expectations Respectfully reminding attorneys or staff about appointments, follow-ups, or administrative tasks Monitoring, restocking, and helping order office supplies Helping vendors and deliveries get to the right place at the right time Learning and using firm technology systems Protecting client confidentiality at all times
Qualifications:
High school diploma or GED required Shows great interpersonal skills and excellent written communication Customer service experience in our industry is preferred Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues History of being deadline-driven and extremely organized Required Qualifications The right candidate should have: Professional communication skills Strong reliability and punctuality Ability to work full-time in the office in Orland Park Ability to arrive by 8:30 a.m. each workday Basic computer proficiency Familiarity with Microsoft Office Comfortable learning new software and office technology Strong organization and follow-through Attention to detail Ability to manage interruptions calmly Ability to follow written and verbal instructions Willingness to ask questions when unclear Ability to maintain confidentiality Professional judgment when working with clients, attorneys, staff, and vendors About Company At Reidy Law Office, we believe in Divorce with Dignity - treating clients with compassion, respect, and professionalism.
