Job Summary We are seeking a proactive and organized Office Assistant to join our dynamic team! Duties Greet visitors, clients, and vendors with professionalism and warmth at the front desk, managing multi-line phone systems with courtesy and efficiency Handle incoming calls, direct inquiries appropriately, and take detailed messages using proper phone etiquette Manage calendar scheduling, appointment setting, and coordinate meetings using Microsoft Office tools and Google Workspace Perform data entry, maintain filing systems, and ensure accurate record-keeping for various administrative functions Assist with bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes Support office management tasks such as supply inventory, mail distribution, and document proofreading to ensure operational excellence Provide exceptional customer service by addressing inquiries promptly and supporting client needs with professionalism Qualifications Proven experience in office administration or clerical roles with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or other bookkeeping software is preferred Excellent computer literacy, typing speed, and data entry skills for efficient workflow management Strong communication skills in English; bilingual abilities are highly desirable to serve diverse clientele Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous Demonstrated ability to manage time effectively while handling multiple responsibilities in a fast-paced environment Join us to be part of a lively team dedicated to delivering outstanding support and creating a positive workplace atmosphere!
