POSITION TITLE
Admin Assistant
FULL TIME POSITION
Administration 8:30a-5:00p, with a ½ hour lunch.
GENERAL PURPOSE OF THE JOB
Under general supervision of the Human Resource Director, the Admin Assistant performs a wide range of duties within the Administration Department.
PRIMARY DUTIES AND RESPONSIBILITIES
1. Operates agency switchboard and routes telephone calls and messages to appropriate department personnel. 2. Performs a variety of typing, filing, and mail routing duties. 3. Maintains appropriate documentation and files as directed. 4. Places phone calls regarding agency business as directed. 5. Operates copy machine, mailing equipment and picks up / delivers mail to appropriate departments. 6. Greets and welcomes visitors in a friendly and professional manner. 7. Assist the Executive Director as directed. 8. Receives and signs for deliveries and supplies. 9. Maintains office equipment including switchboard, facsimile machine and copy machine. 10. Maintains a clean and organized front desk area. 11. Assists Finance Department with tasks, as needed. 12. Keeps a visitor log to maintain security. 13. Ensure bathrooms are stocked with necessary supplies 14. Maintain and restock wall air fresheners, poo-pourri, and sanitizing Lysol spray. 15. Completes IPC order for cleaning/paper supplies, as needed. 16. Spot check restrooms in the morning after arrival to ensure cleanliness. 17. Ensure administration building is disinfected by cleaning door handles, tables, copier, etc. 18. Post board meetings agendas on front doors, prepares board meeting packets for each board member. 19. Prepare boardroom, pick up and set up food for board meetings, monthly. 20. Other duties as assigned.
SKILLS AND ABILITIES
High School Diploma. Ability to type with reasonable speed. Valid state issued License with good driving record. Ability to work well with others, including the general public. Ability to manage and organize multiple tasks. Ability to express ideas clearly and concisely.
Physical abilities required include:
Repetitive motion, standing, walking, lifting, grasping, and hearing, visual acuity, speaking, writing, reading, kneeling, reaching, turning and bending. These employees may be subject to verbal, physical or emotional assault by persons served and may be required to wear protective clothing. As a requirement of continued employment, these employees must be able to attend and complete in-service training as dictated by state, federal and Board regulation.
Pay:
$15.00 - $16.50 per hour
