Monday-Friday, 8:30 AM-5:00

1 year Job Overview We are seeking a reliable and detail-oriented Administrative Assistant to provide front-line administrative support. This position will assist clients with scheduling, check-in, general questions, documentation, and other administrative needs while ensuring a professional and welcoming experience. Bilingual Spanish/English candidates are preferred due to the high demand for bilingual support. However, bilingual skills are not required, and non-bilingual candidates are encouraged to apply. Key Responsibilities
  • Greet and direct clients in accordance with program and agency policies.
  • Provide information and educate clients on program requirements and standards.
  • Answer incoming calls and assist clients with questions.
  • Schedule and manage appointments for new and existing clients.
  • Check clients in and provide front-desk support.
  • Collect co-pays by cash, credit/debit card, or check.
  • Process client information accurately and maintain medical records.
  • Enter and update data in the appropriate agency systems.
  • Assist with electronic health records (EHR) and email communications.
  • Maintain confidentiality of client and medical information.
  • Provide professional and courteous customer service.
  • Perform other administrative duties as assigned. Qualifications & Skills
  • Strong customer service and communication skills.
  • Excellent attention to detail and organizational skills.
  • Ability to handle confidential client and medical information.
  • Proficiency with data entry and record-keeping.
  • Comfortable using email, computer systems, and electronic health records.
  • Experience with scheduling, front-desk, healthcare, or administrative tasks preferred.
  • Knowledge of public health programs is a plus.
  • Spanish/English bilingual skills preferred, but not required. Immunization Requirements Candidates must be able to provide proof of, or be willing to obtain, the required immunizations:
  • Measles
  • Mumps
  • Rubella
  • Pertussis (Tdap)
  • Varicella Candidates who do not currently have the required immunizations must be willing to obtain them as a condition of the position.
